Make the most of your participation in the Amsterdam in-water Boat Show 2012! Read the tips below carefully and keep an eye on the deadlines to ensure that your vessels and products get the media attention they deserve.
1. Remember to submit the innovation form via the webshop
The press officer of the Amsterdam in-water Boat Show uses news from the exhibitors to inform the press both prior to and during the exhibition. This includes information on new products and/or services that are being presented to the Dutch market for the first time at the show. Please submit the digital innovation form as quickly as possible (deadline Friday 1 June 2012) via the webshop by using your exhibitor log-in code. We will create an overview of all submitted items, which will be distributed among (trade) media for exhibition specials at an early stage. The overview is intended as a first quick reference for the press based upon which they can further research items they find interesting. In addition, the innovation information is often used in press releases sent to the media by HISWA Multimedia. The webshop also enables you to upload images of your vessel/product up to 2 MB. If your image is larger than 2 MB, please send it via e-mail to pers@hiswa.nl
2. Press releases
Announce your news via a well-written press release with the following layout:
Date
Headline: Who + what (the latest news item) or just what
Lead: What (the latest news item) + who, where, when
Occasionally: either how, or why, or with what/with whom
Text: Explanation
other news items
(other issues: With whom/what; how; why)
background and history
Note to the editor: Company name, department, contact, phone number, e-mail.
3. Your press release at www.hiswa.nl/hiswatewater
The website of the Amsterdam in-water Boat Show is often consulted by both visitors and press. Send your press release and image (1 image up to 2 MB) to pers@hiswa.nl and we will place it in the press section of our website.
4. Concise press folder
Press folders for the press room at the Amsterdam in-water Boat Show can be submitted in batches of 20 copies (deadline Monday 3 September 2012). As it is in both your and our best interests to provide the press with good information we are pleased to give 4 free relation tickets to all exhibitors who deliver press folders to the press room in time.
We recommend sending your press folder to the major watersports media in June so they are in time for the editorials they will publish about the Amsterdam in-water Boat Show. A good press folder contains the following information:
- Concise details about your company and the exhibited vessels, products or services;
- Press release with a clear description of your new products;
- The clearest images possible, in print and on CD-ROM or USB stick, in high resolution (300 dpi), and with a caption to illustrate your latest products;
- A reference to your stand and the spokesperson at the stand for further information, as well as the phone number and contact person for information after the exhibition;
- If possible, digital copies of this press documentation (on CD-ROM).
5. Let people know of your participation in the Amsterdam in-water Boat Show 2012
Inform your clients and relations that you will be exhibiting at the Amsterdam in-water Boat Show. Remember to include references to your stand in advertisements; provide information about your presence at the exhibition in all your correspondence (invoices, letters, mailings); add a message on your answering service; hang up an Amsterdam in-water Boat Show poster; and place an Amsterdam in-water Boat Show button with link on your website.
6. Respect the deadlines
Journalists always work to deadlines. For (trade) magazines, the deadline is often two months before the date of publication, while the deadlines for weekly magazines and newspapers are obviously much later. Respect these deadlines to benefit from free publicity.
7. Be available to journalists
It may be that editors require more background information after seeing the innovation list or your press information. Delays in answering these questions could result in their focus shifting to another product than yours. Journalists nowadays like to receive high resolution images by e-mail. Make sure that you are always ready to send your press information and images digitally and that your images are no larger than 2 MB.
8. Appoint a press contact within your company
Appoint one person as your companies press contact to ensure that you always provide the same information. Of course it is possible to refer to various specialists within your company for different fields, but having a single point of contact for the press helps you build a better relation with journalists.
9. Inform us of any press activities
The press officer of the Amsterdam in-water Boat Show will send a final calendar overview including the press activities organised by the exhibitors to the press several weeks prior to the exhibition. Make sure that you keep us updated if you plan to organise press activities during the exhibition so that we can inform journalists about these prior to and during the event.
